Example email to users for Enforce organization ownership policy

Use this email template as a starting point for communicating the Enforce organization ownership policy to employees. It includes instructions for accepting the transfer of item ownership and what to expect.

Hello Bitwarden users,

We are implementing a new policy that will affect how your individual user vault items are managed in Bitwarden.

What's changing:

Any items currently stored in your My vault will be moved to a new My items space under company ownership. While only you can access these items during your employment, IT administrators will be able to access them if you leave the organization. This ensures business-critical credentials can be properly managed, reassigned, or securely rotated/retired during employee transitions.

Note: Administrators can see some details of what is stored in your My items space via security reports, but cannot view passwords or other details while you remain with the company.

What you need to do:

1. Remove all personal items from your vault immediately. This includes personal passwords, logins, and notes that are not work-related.

2. When prompted, accept the policy change. You'll see a notification in Bitwarden soon similar to the screenshot below. You must accept this change to continue accessing shared company credentials.

3. Store personal items elsewhere. As a benefit of our enterprise subscription, you're entitled to a free Bitwarden Families account for your personal use.

If you miss the deadline:

You may decline the transfer when prompted, remove your personal items, then contact IT to regain access to the organization.
